TWL Leader Frequently Asked Questions

What is your policy on COVID-19?

In accordance with each country’s requirements, COVID-19 vaccination (booster not required) will be required to attend a 2022 or 2023 program trip. This is subject to change as we will be following any and all restrictions that are in place at the time of the event. We will provide more details as we get closer. The safety and health of our attendees comes first, so we will take all measures necessary to keep everyone safe.

Patrons will be responsible to call their travel insurance companies for any reimbursement if they can no longer travel as our trips are non-refundable after deadline listed in our Terms and Conditions.

What if an attendee feels sick during the event?

If any attendee has shown signs of COVID-19 symptoms they will be asked to get tested immediately and remain in their hotel room, accommodation until a negative test result is received. We will provide testing and will provide access to prompt medical attention. (Travel Insurance is mandatory for this reason.)

When will you be purchasing my flight? When will I be arriving?

Traditionally, we purchase your flight 120-160 days before the program trip, as that tends to be the most economical time to buy (pre-covid). We will arrange for you to arrive 24-48 hours before your teachers arrive so that you have time to prepare and organize any, on site, logistical needs or recoup from your own jet lag so that you are prepared and fresh to greet your educators.

How much am I given for a stipend during the program trip?

Each leader receives a $200-300 stipend for food.

Can I upgrade my flight to Business or First Class?

Yes, we will send you the amount that a coach flight would have cost and you can pay the difference for your flight on your own.

Can I bring family on a program trip that I am leading?

Family can come, but must not interfere with your duties which include being immersed with our educators throughout the dates of the program trip. If over 15, they can do sightseeing with us, at your expense. It would be best if they joined before or after, so that you can enjoy your time with them. Due to liability and safety concerns, If you bring a child under 16, you must have another adult (not part of the trip) to supervise your child. 

If you would like to bring family on a program trip let us know, in writing, as soon as possible of attendance and NO LATER than 6 months BEFORE the program trip since this is when we are fully locked in our hotel rooms and may incur fees or a price increase for changes. All family additions must be pre-approved by Taína.

What are your TWL office hours?

For our clients: Monday-Friday 9-6 pm EST. Weekends / Evenings are by appointment only. Please allow 24-48 hours for replies.

For our leaders: We are available anytime via email and you may text any day before 9pm est preferably.

When on a program trip: We are 24/7 when a trip is happening.

Will I be provided with names of attendees?

Yes, once the program trip is fully booked, you will gain access to the spreadsheet that list participant names, allergy list, emergency contacts, rooming list, arrival details.

How much time can I take to respond to TWL emails and calls?

Communication is vital to TWL’s success. We will not send out a lot of emails to you....therefore, if/when we call or email, leaders are expected to return emails in a timely fashion (within a week preferably, no more than than two weeks for non-time sensitive communication). Any miscommunication or lack of can be very costly for our organization.
